Who is responsible for your information
This site is operated by Accommodation with Matt (“we”, “us”). We are the data controller for the personal information described below.

What we collect
When you use the accommodation enquiry form, you choose to send us:
- Your name and the company you work for
- Your email address and phone number
- The site town or postcode, the number of people, dates and length of stay
- Anything you write in the notes field
When you use the landlord call-back form, you choose to send us:
- Your name, phone number and (optionally) email address
- The town or postcode of the property, and the number of bedrooms
- When you would like to be called, and anything you add yourself
If a booking goes ahead we will also hold what we need to run it — for example the names of the people staying, arrival and departure dates, and the billing details of the company paying.
How the forms work
When you press the button on a form, the details you entered are sent to Web3Forms, a form-handling service, which passes them to us by email. Web3Forms processes them on our behalf only to deliver that email. If the form can't send, you'll be offered the option of sending the same details from your own email program instead.
Why we use it, and our lawful basis
- To answer your enquiry and quote for it — steps taken at your request before entering a contract, and our legitimate interest in responding to people who contact us.
- To arrange and run a booking — performance of our contract with you or your employer.
- To arrange a call with a landlord and discuss their property — steps at your request, and our legitimate interest in following up.
- To keep records of bookings, payments and correspondence — our legal obligations, including tax and accounting.
We do not use your details for marketing unless you have asked us to, and we do not sell them to anyone.
Who else sees it
- The owner of the property you are staying in, where they need to know who is in the house
- Cleaners, maintenance contractors and similar suppliers, where they need it to do the work
- Our form-handling (Web3Forms), email, hosting and accounting providers, who process it on our behalf
- HMRC, our accountant, insurers or advisers where we are required or reasonably need to
How long we keep it
Enquiries that do not lead to a booking: 12 months. Booking records and anything needed for tax: 6 years from the end of the tax year they relate to. After that we delete them.
Cookies
This site sets no cookies of its own, and there is no analytics or advertising tracking on it.
It does load fonts from Google Fonts, which means your browser makes a request to Google's servers and Google receives your IP address as part of that request.
Your rights
Under UK data protection law you can ask us to:
- Give you a copy of the personal information we hold about you
- Correct anything that is wrong
- Delete it, where we have no continuing reason to keep it
- Restrict or object to how we are using it
- Send it to you, or to someone else, in a portable format
Email us and we will answer within one month. If you are not happy with how we have handled it, you can complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113.
Keeping it safe
We keep your details on password-protected accounts and devices, share them only with the people listed above, and delete them when they are no longer needed. No system is perfectly secure, but we take reasonable care.
Changes
If we change how we handle personal information we will update this page and the date at the top.
